Important Update About the 12th Annual Eagle Scout Recognition Dinner

The Eagle Scout Recognition Dinner is one of the most eagerly-anticipated and well-attended events in our Council each year.  While we are excited to conduct this year’s event in person on Tuesday, November 23, at the Hershey Lodge and Convention Center in the Chocolate Ballroom, we are implementing health and safety protocols intended to help limit the potential transmission of COVID-19 at the event.  As the number of COVID cases has risen in our area thanks to the Delta variant, we must continue to take precautions considering all dinner participants.

The Chocolate Ballroom will accommodate up to 650 guests seated at round tables of 10 people.  The ballroom doors will be open for guests to enter at 5:00 PM and go directly to their assigned table to help reduce large groups congregating in the hallways and common areas waiting for the ballroom doors to open.

The Eagle Scout Recognition Dinner will also be live-streamed, allowing anyone who prefers not to attend large in-person gatherings an opportunity to experience the program virtually.  We will post information about accessing the live stream on the Council’s website a few days before the event.

While not mandatory, we strongly recommend guests who attend the dinner be fully vaccinated against COVID-19.  If a guest is not vaccinated, we strongly recommend taking a COVID-19 test and having a negative result within 72 hours before the event. If you are not feeling well, running a fever, or showing symptoms of a cold, please do not attend the dinner.

We will also recommend following current Centers for Disease Control guidelines for large group indoor gatherings such as social distancing and wearing masks when not eating. Vaccines have proven to be incredibly protective against both hospitalization and death from COVID. The Boy Scouts of America recommends that everyone eligible for a vaccine consult with their health care provider and get vaccinated.

Additionally,

  • We will email table assignments in advance to guests and sponsors who have provided us with email addresses, allowing you to avoid having to check in at a registration table.
  • We will stage QR codes in common areas where guests can scan them on their mobile phones to find their table assignments.
  • We will pre-set the Eagle Scout recognition coins traditionally presented to each Eagle Scout at their assigned table. Each Eagle Scout will have an opportunity to introduce themselves from the podium as part of the event opening.
  • We are planning to continue the practice of taking family photos at the dinner. Please wear your masks and maintain six feet of physical distance from others while waiting in line for your picture.
  • We are planning to take the traditional Eagle Scout group photo. Eagle Scouts should wear their masks until just before the photographer takes the picture, removing their masks briefly for the photo and then putting them back on.

While the Eagle Scout Recognition Dinner is the Council’s largest fundraising event, we understand that someone may wish to cancel their reservations due to concerns about COVID. Any refund requests must be made in writing and sent to brian.debease@scouting.org no later than Friday, November 12.
