Rendezvous Registration

 

Registration is open for units and families to register for Rendezvous.  Each pack, troop, crew, or post should determine the number of youth and leaders that are planning to attend through the unit’s Tentaroo account.  Families who are not attending with a unit will need to create a Tentaroo account.
Two types of registration are available:

  • Day Visitor – Cub Scouts, families, Scouts BSA Scouts, Venturing Scouts, Sea Scouts, and Explorers can participate in Rendezvous just for the day on Saturday, September 25.
  • Weekend Camper – Due to limited camping space at Hidden Valley, we are no longer accepting additional reservations for weekend camping.  Those wishing to participate on Saturday only can do so by making a reservation as a Day Visitor.

  • When signing up, troops, crews, ships, and posts will be prompted to estimate the projected number of Scouts and adult leaders from their unit that are planning to attend.  Units can edit their registration in Tentaroo anytime on or before September 21.  Units will need to submit a roster of all participants during the on-site check-in process.

Weekend Camper Option – Scouts BSA Scouts, Venturing Scouts, Sea Scouts, and Explorers can choose to participate in the full experience that Rendezvous has to offer by participating as a weekend camper.  Troops, crews, ships, and posts can register their Weekend Campers here.

  • Troops/Crews/Ships/Posts will be staying in the designated Unit Camping Area.  Campsites are assigned on a first-come-first-served basis determined by the initial date of registration.  There is room for everyone.  The units that register early will get the best camping spots.  When registering, units will be prompted to give a number of Scouts and adult leaders that are planning to attend.

Webelos Scouts Attending with a Scouts BSA Troop – Webelos Scouts can participate in Rendezvous with a troop OR with their pack for either the day or for the weekend.  Troops should register those Webelos Scouts that will be participating in Rendezvous with the troop.  Also, troops should include the names of these Webelos Scouts on their unit’s roster turned in during the on-side check-in process.

  • Female Webelos Scouts must attend Rendezvous with a Scouts BSA girl troop (no exceptions).
  • Male Webelos Scouts must attend Rendezvous with a Scouts BSA boy troop (no exceptions).

Parents of Webelos Scouts – Registered leaders and adults with Pennsylvania volunteer clearances are permitted to camp in the encampment area with Webelos Scouts who are participating in the event with a troop.  If a parent of a Webelos Scout does not have the required PA volunteer clearances on file with the Council, they can still attend but will need to register and camp overnight in the Family Camping area.Registration for Packs/Individual CampersDay Visitor Option – Cub Scouts and families can participate at Rendezvous just for the day on Saturday, September 25.  Packs can register Day Visitors online here.

Cub Scout Siblings – Rendezvous is a family-friendly event, and Cub Scout families are welcome to register siblings to participate.  Siblings will be able to participate in age-appropriate activities.  Siblings need to be included in the pack’s estimated count and listed on the pack’s roster that is turned in during the on-site check-in process.  Siblings staying for the weekend must be accompanied by a parent.  Siblings under the age of 4 may attend free of charge.Families registering without a pack – Families who wish to attend without their pack may do so but will be prompted to create a free Tentaroo Account when selecting either the Day Visitor registration option or Weekend Camper registration option.Units from Outside the New Birth of Freedom CouncilAny registered Scouting unit from any council is welcome to attend Rendezvous.  Units registering from outside the New Birth of Freedom Council will need to create a free Tentaroo Account when selecting either the Day Visitor registration option or Weekend Camper registration option.  Units that have previously attended a New Birth of Freedom Council summer camp or made a year-round reservation have a Tentaroo account and should use that to register for the event.  If you have questions or problems registering in Tentaroo, please contact the New Birth of Freedom Council Camping Department at 717-620-4525.Medical FormsUnits are required to have a completed Annual Health and Medical Record Part A and Part B for all Rendezvous participants, as is required for any unit activity or camping trip.  These forms must be kept on-site with the unit leader for the duration of the event.Units should bring unit first aid kits and Scouts should carry personal first aid kits.   A team of medical professionals, including an ambulance, will be on-site for any emergencies.The parental release on the BSA Medical Form will provide participants access to participate in all age-appropriate activities.  Campers who are camping with their units are to give their medical forms to their unit leader.Day Visitors Only:  Day Visitors are to bring a completed BSA Annual Health and Medical Record Part A and B with them.  Forms should be collected and kept by the unit leader.  If not attending with the unit, forms should be with the Scout at all times.While we are not collecting these forms on-site, they are needed if any medical issues arise.COVID-19 ConsiderationsThe safety of our Scouts and Scouters is paramount.  The New Birth of Freedom Council is constantly monitoring changes in guidance from the Centers for Disease Control and the Pennsylvania Department of Health.  We will update units and participants of changes made to the current guidelines and will be prepared with final instructions during the pre-event meetings scheduled for September 19.Leaders Meeting Prior to the EventThere will be a virtual leaders meeting prior to the event on Sunday, September 19.  There will be a meeting scheduled for Day Visitors at 6 pm (register here) and for Weekend Visitors at 7:30 pm (register here).  These meetings will be recorded.Be sure to complete your Rendezvous Unit Roster and Rendezvous Unit Leadership Statement before arriving at the event.View the Leader Meeting for Day Visitors here.

All participants and registered event staff over 18 must have the most up-to-date BSA Youth Protection training.Weekend Campers: Units attending for the day must have two registered adult leaders, one of which being 21 years of age or older. A registered female adult leader must be 21 years of age or over in every unit serving females. All adults (anyone over the age of 18) must have current PA clearances on file with the council. For questions about clearances, please get in touch with Mitzi Perry at mitzi.perry@scouting.org or (717) 827-4576.Day Visitors: Units attending for the day must have two registered adult leaders, one of which being 21 years of age or older.  A registered female adult leader must be 21 years of age or over in every unit serving females. Families attending for the day, supervising only their own children, are not required to have clearances or Youth Protection Training.Refund and Cancellation PolicyWeekend Events / Training & Other Outdoor Programs Events Refund Policy: Registration fees for weekend events are due at the time of registration. A late fee of $10 will be applied to a registration completed after September 7.  Program materials and/or recognition items may not be available for participants with late registrations. There will be no refunds for cancellation after September 17, 2021. For all unit activities, anyone requesting a refund should contact their unit leaders as the Council will send refunds and credits back to the unit for distribution.In the event of inclement weather for the weekend of September 24-26,  Rendezvous will be moved to the weekend of October 1-3, 2021.  Units will be notified immediately if the event needs to be rescheduled for the backup weekend.
